Credential File Guidelines
What is a Letter
of Recommendation/Reference?
Reference Form
Suggestions for your file:
- Generally include three to four letters in your credential file (2-3
from professors, 1-2 from past employers).
- The best recommender is one who has high regard for your work, knows
you well and is a good writer.
- Plan ahead to request letters of recommendation, allow plenty of time
for your references to write what you need. If you have deadlines, let
him/her know.
- Speak with each reference about your interests and goals.
- Give each reference a copy of your resume and any other information
which would be helpful in writing your recommendation.
Procedure for requesting recommendations to be mailed:
- Requests must be on letter size paper (8 1/2 in. x 11 in.) and in letter
format. Please type or print legibly.
- List recommendations specifically by name and where (names & addresses)
to send them.
- Sign and print your name, also include your class year, address and
phone number.
- Requests will not be accepted until all letters are in file. It is
the responsibility of the student to make sure letters are in the file
before submitting a request.
- Mail requests to Career Services, Colgate University, 13 Oak Drive, Hamilton NY 13346,
fax to 315-228-7178 or email to
ccs@mail.colgate.edu
It is your decision whether or not to waive your rights to see
a letter.
If you do not waive your rights:
- you may see the contents of the letter
- you may receive a copy of the letter
If you waive your rights:
- you may not see the contents of the letter
- a copy of the letter will not be mailed or given to you under any circumstance
- you must sign the statement on the reference form
At this time it is our policy to keep credential files for ten years
following graduation, with the exception of certified teaching placement files.
